Adding new hosts

This guide shows how to add new hosts in RespaManager. You can add hosts one by one, import several at once with an Excel file, or automate the process with an integration.

Before you start

You need admin or lobby user rights to add new hosts.

Add a host one at a time

1. Log in to RespaManager.
2. Select Hosts in the left menu.
3. Click Create new.
4. Fill in the required details (marked with an asterisk):
   • First name
   • Family name
   • Phone number (GSM)
5. Add other details as needed:
   • Email: not mandatory, but without it the host won't get email notifications.
   • Position
   • Login email: the address the host uses to log in to RespaManager, if it differs from the email above.
6. Choose the settings you need:
   • Access rights to the system: the host can log in to RespaManager and invite visitors.
   • Send account activation message: the host gets an email to activate their account.
   • Available for uninvited visitors: the host can also be selected by visitors who weren't invited in advance.
   • Allow updating of contact information: details update automatically if data is transferred from another system.
7. Click Save.

Edit or remove a host

1. Select Hosts in the left menu.
2. Find the person with the search field.
3. Click Edit, make your changes and save. If the person has left the company, click Delete.

Import hosts with Excel

1. Select Management → Import data in the left menu.
2. Download the .xlsx template.
3. Fill in the host details in the template.
4. Select the filled-in file and click Import file.
5. Review the preview, such as the number of new hosts.
6. To remove hosts that aren't in the file, select the removal option. The preview shows the number of hosts to be removed even when the option is off, but nobody is removed unless you select it.
7. Confirm the import with the transfer button below the preview and check that you get a success message.

Note: the import isn't done at the preview stage. Remember to confirm the transfer.

Automatic sync with an integration

If you have many hosts or they change often, host details can sync automatically from your own system to RespaManager. The integration is available as a monthly add-on. Contact us at support@systam.fi or your Systam contact person for setup and pricing.

All set! The new host now appears in the list and can be selected for visits.
