User levels in RespaManager
There are four user levels in RespaManager. Each has its own role in daily work.
Receptionist
Basic level for everyday use.
- Can see their own visits
- Can edit their own visits
- Can add and manage visitors
Power User
Expanded rights for team-level work.
- Can see their own and others’ visits
- Can edit all visits
- Can add and manage visitors
Admin
Full system control.
- Same rights as a power user
- Access to all settings
- Can manage users and system configurations
Lobby User
The most complete role for reception environments.
- Same rights as admin
- Access to the lobby view
- Most settings available
What can a lobby user do?
A lobby user can handle daily reception work from one place.
- Add and manage hosts
- Edit settings
- Manage visits across all users
- Use the lobby view for visitor handling
By default, a lobby user has access to all profiles. These permissions can be limited when needed.
Limiting access by location
If your organization has multiple locations, it’s a good idea to limit access for clarity.
- For example, Tampere and Vantaa
- Lobby users only see their own location
- Keeps the interface clean and easy to use
Permissions are set per user, so access can be tailored as needed.

- User level directly affects what a user can see and edit
- Too many permissions can make the view confusing
