This guide explains how to manage and monitor user induction completions in Systam Pass. You can quickly view valid, expired, and pending completions from one clear view.
Managing completions
- Open the Completions view.
- Use the search field at the top to find a user by name, email address, or company.
- Use the quick filters when needed:
- Needs attention – shows users with expired or missing completions.
- Expiring in 30 days – shows completions that will expire soon.
- Awaiting completion – shows users with awaiting completions.
- Or use the extended search to find a user with more specific details.
- You can also filter the view by specific training content using the Content filter at the top of the page.
Viewing user details
- Select a user from the list to open detailed information.
- You can view the user’s contact details, company, and induction progress.
- Training state shows how many inductions the user has completed.
- Last action displays the most recent activity.
- Next due date shows when the next training will expire.
Training statuses
- Valid – the training is active and valid.
- Awaiting completion – an invitation has been sent, but the training has not yet been completed.
- Expired – the training has expired and requires a new completion.
Available actions
Inside the user details view, you can perform the following actions:
- Send invitation – sends a new training invitation to the user.
- Send reminder – sends a reminder for unfinished training.
- Mark as completed – manually marks the training as completed.
- Modify – updates user details or training information.
- Delete – removes the user (and the users completions)
Exporting completion data
You can export completion data in Excel format by selecting Download (.xlsx) from the top right corner.
All set! Now you can keep track of training progress easily from one clear view.
