This guide brings together everything you need as a host in Systam Visit: how to invite a visitor, what happens when they arrive and where to find your own settings.
Signing in
Every host automatically has an account in your organization's RespaManager. If you don't know your password, you can set a new one with the Forgot your password link on the sign-in page. See Forgot password to RespaManager.
Inviting a visitor
When you invite a visitor in advance, they get a pre-arrival message with arrival instructions and a QR code that makes sign-in quick. You can invite a visitor in three ways:
- Calendar invite: add your organization's invitation address to the invite along with the visitors. See Inviting guests via calendar invite.
- Outlook add-in: the add-in adds the invitation address for you. See Outlook Add-in: installation and use.
- RespaManager: select Visits → Make a new visit in the left menu. See How to invite a visitor via Manager.
You can find the invitation address, for example, in the email notification you get when an unannounced visitor signs in to see you. If you don't know the address, ask your admin, reception or support at support@systam.fi.
Your visits
You'll find your upcoming visits under Visits → Upcoming visits. You can also edit and delete them there.
When your visitor arrives
You get a notification by email, text message or both when your visitor signs in. From the link in the text message you can reply to the visitor: pick a ready-made reply or write your own. The reply goes to the visitor as a text message and email.
If a calendar invite didn't create a visit, see Your calendar invite didn't create a visit. If you didn't get a notification, see You didn't get a notification when your visitor arrived.
Your settings
You can update your details, change your password and, for example, let your assistant create visits on your behalf. See Your user account settings and Letting another user create visits on your behalf.
That's all — your visitors get in smoothly, and you know the moment they arrive.
