When you send a calendar invite that includes your organization's Systam Visit invitation address, the visit is created right away. You'll get a summary by email within about 15 minutes. If no summary arrived and the visit doesn't show under Visits → Upcoming visits, the reason is usually one of the ones below.
Check these
- Was the invitation address included? Open the invite and check that the invitation address is among the recipients and spelled correctly. If you use the Outlook add-in, check that the option not to add the visit to visitor management wasn't selected. See Outlook Add-in: installation and use.
- Was it the right site's address? If your organization has several sites, each has its own invitation address. Check that the invite went to the right one.
- Are you set up as a host? The system recognizes the sender by their email address. If you haven't been added as a host, the invite doesn't create a visit and no notification is sent. Ask your admin to add you: see Adding new recipients.
- Did the invite come from the same address as in RespaManager? If you sent it from an alias, a shared calendar or a different email address, the system won't recognize you. Check your email address: Your user account settings.
Good to know
- Changes and cancellations update automatically as long as the invitation address is still in the invite. If you move the meeting, add a visitor or cancel the invite, the visit is updated too.
- A recurring meeting creates a visit for every occurrence.
- The visitor's name is formed from their email address (firstname.lastname). If the address is something like info@company.com, it's a good idea to fix the name through the summary email so the lobby and the visitor badge show the right name.

Contact support at support@systam.fi. Tell us who sent the invite, when, and which invitation address was used, and we'll look into it.
Once the invitation address and your email are in order, the next invite goes through right away.
